AI and data
Business process and workflow automation.
We hand approvals, document processing, validation and notifications to software.
Process automation means handing repetitive, rule-based work (data entry, approval flows, document checks, notifications) to software, so people step in only where a judgement is needed.
01 / Definition
What is process automation?
At Meybrain Technologies we map and simplify the process with you first, then automate it with workflow software, integrations and, where it helps, AI.
Automating a badly designed process just makes the same mistakes faster. So the first question is not "which tool?" but "does this step need to exist?". Often, removing one approval or simplifying one form delivers as much as the automation itself.
02 / Good fits
What is worth automating?
- 01
Reading documents
Extracting fields from invoices, delivery notes, order forms or contracts.
- 02
Approvals
Purchase requests, expenses, leave and discounts routed to the right person in the right order.
- 03
Validation
Checking a record against rules before it moves to the next step.
- 04
Reminders
Expiring contracts, missing documents, late orders.
- 05
Report distribution
Recurring reports prepared and sent automatically.
- 06
Request routing
Emails and forms classified and assigned to the right team.
We judge each candidate on three questions: how often does it repeat, how clear are the rules, and what does an error cost?
03 / Audience
Who it is for.
- Finance teams: document entry, reconciliation, collections.
- Operations and logistics: order checks, dispatch preparation, status updates.
- HR: onboarding paperwork, leave, training records.
- Customer service: triage and first replies.
- Professional firms whose specialists hand calculations and checks to one another in sequence.
04 / Deliverables
What we deliver.
- 01
Current and target process maps
- 02
A prioritised automation backlog
Ranked by frequency, effort and cost of error.
- 03
The workflow application or automations
With rules, states and connections.
- 04
An exception screen
Where records the system cannot decide on reach a person for approval.
- 05
A full history
Of which rule or person moved each record through each step.
- 06
Before-and-after measurement
Of time, errors and waiting around the pilot.
- 07
Documentation and user training
05 / Process
How the project runs.
- 01
Observe
The work as it is really done.
- 02
Map and simplify
Remove unnecessary steps and duplication.
- 03
Choose
A first process with high benefit and low risk.
- 04
Design exceptions
Who decides, and how, when rules are not enough.
- 05
Build
On a test environment, tried with real samples.
- 06
Pilot
With a limited team or batch of records.
- 07
Roll out and measure
Then move to the next process.
06 / Technology
Technology choices.
The right tool depends on complexity and the systems involved:
- 01
Custom workflow software
For complex, business-specific or high-volume processes.
- 02
Low-code automation tools
(n8n, Make, Power Automate and similar) for simpler flows built from ready-made connectors that your team can also adjust.
- 03
Robotic process automation (RPA)
For legacy systems with no API. It breaks when screens change, so we treat it as a last resort.
- 04
AI
For reading or classifying unstructured documents and text, with results either processed automatically or sent for approval depending on confidence.
07 / Example
Examples from our work.
İmarsal, our own product in launch preparation, pulls specialist steps that usually wait on one another into a single flow. Reading zoning conditions, calculating floor-area ratios and preparing feasibility are normally done by different people in sequence; in İmarsal they run as one flow that starts from a block and parcel number.
In Kolay Sevkiyat, automated validation sits in the middle of the shipping process: a parcel with missing details is flagged for correction before it reaches the carrier, and validated orders move on to label production. Both are in our portfolio.

08 / Pricing
Pricing model.
We price automation per process. A short mapping exercise identifies candidates and expected benefit; then we send a written, itemised fixed-price quote for the chosen process.
Cost depends on the number of steps and exceptions, the systems touched, the variety of documents, volume, the approval screens needed and any tool licences.
09 / Questions
Frequently asked questions.
- 01
Where should we start?
With processes that repeat often, follow clear rules and are costly when they go wrong. We score candidates on these three criteria during mapping and pick the first one together.
- 02
Is RPA the same as process automation?
No. RPA is one tool within process automation, and it works through the screen. If systems have APIs, direct integration is usually sturdier and cheaper; we use RPA only when there is no other route.
- 03
Will automation replace our staff?
Automation usually takes away the repetitive part of a job, not the job. People spend their time on exceptions, checks and customers instead. We recommend planning that shift with your team.
- 04
What happens when the automation gets something wrong?
Every automation has an exception step that sends uncertain records to a person. All actions are logged, so a wrong record can be traced back and corrected.
- 05
Why build custom when off-the-shelf tools exist?
For simple flows we recommend the off-the-shelf tools. When rules get complex, volumes rise or data must stay in-house, custom development is more sustainable. We decide process by process.
